South Africa: Transfers using the statutory override option for UIF

Employee Transfers

Employees can be transferred between different frequencies in the same company and between different companies in the same company group.

Navigate to the employee > On / Off Boarding > Transfer

      

When an employee is transferred between frequencies, the system will automatically add the “_1TR” suffix to the employee number of the terminated record.
When to activate the ‘terminated for statutory reporting’ checkbox field?

      

If transferring between companies/frequencies with different Company UIF registration numbers:

  • This field should be ticked.
  • The original employee record will then be included as a ‘termination’ in the UIF declaration file and the UI-19 report.

If transferring between companies/frequencies with the same Company UIF registration number:

  • This field should not be ticked.
  • The employee will be included as ‘active’ with an unbroken UIF record.
  • The UIF declaration file will consolidate both records as one ‘active’ record and not as ‘terminated’. No UI-19 will be generated for such an employee.
  • If the employee has been transferred mid-month, resulting in two payslips in one month, please ensure the aggregated UIF contributions adhere to the monthly UIF limit.
