Why am I receiving leave error: "The application cannot be saved as the leave balance is less than the allowed minimum"? when the leave bucket has been configured to go into a negative?

This feature is available on all PaySpace editions.

When submitting a leave application, a user may receive the error message: "The application cannot be saved as the leave balance is less than the allowed minimum" in the following example.

      

The system does not cater for individual validations if a user submits multiple leave applications over consecutive days with a run; and the leave scheme parameter setup is configured to go into a negative will result in the error. Therefore, the leave days will be deducted as they get approved.

      Navigate > Configuration > Human Resources > Leave Parameters > Leave Scheme Parameters > advanced options

      

When users upload leave applications to the system - we assume it's already been through an approval process.  Users will only upload leave if they for example completed manual forms or manage leave in another system.


      


When there aren't applications waiting to be approved, the system displays the following warning message

      

If applications are submitted via the Bulks Actions screen, due to allowing users to upload leave applications without specifying the number of days on the leave application bulk upload, the system cannot combine the leave days in order to validate all records at once because the leave days are not calculated until after the point where we have access to all the applications being uploaded.

In other instance, the error will display if a company - or business partner-level user submits/edits a leave application on behalf of an employee and/or changes its status from "Waiting" to "Approved" and enables the "Skip leave validations" and "Bypass Workflow" checkboxes. Therefore, these checkboxes should be enabled to clear the error.

      

Similarly, the error will display when an employee applies for leave via ESS; and the amount of hours or days being applied for is higher than the value in the Projected Leave Balance field
