After the payroll has been processed and reconciled, you need to generate PDF Payslips to distribute to the employees.  This article clarifies functionalities pertaining to the PDF Payslip set-up.

An Example of a PDF Payslip



By default, the payroll's logo will reflect in the top right corner of the PDF Payslip.  A company logo can be added on the Basic Company Information Screen to display in the top left corner of the PDF Payslip.

Navigate > Config > Basic Settings > Company Settings > Basic Company Information > Company Themes

Click on Select File to upload the company logo.



Hide/Show Payslip Items

You can choose to display or conceal selected header fields on the PDF Payslip, from the Hide/Show Payslip Items Screen.

Navigate > Config > Payroll > Payslip > Hide/Show Payslip Items


Apply selections on the Hide/Show Payslip Items Screen and then click on Save.
Tip
Keep in mind that some information is required on the PDF Payslip by legislation.

Adding a Global Payslip Message

You can add a general message to all employees on their PDF Payslips per pay run from the Payslip Message Screen.

Navigate > Config > Payroll > Payslip > Payslip Message


Add a payslip message on the Company Payslip Message Screen and then click on Save.


The message will display at the bottom of the PDF Payslip.

Adding an Individual Payslip Message

An individual payslip message per pay run can be added to the PDF Payslip from the Payslip Edit Screen.



Select to  edit  the payslip record.

Type a message in the below block to add an individual message to the payslip record and select to Update.


Tip
Please note: Always process a global message before an individual message, since the same line on the PDF Payslip is used to reflect both types of messages.  

A global message will therefore default to an employee’s Payslip Comments Screen.  You can then adjust the global message to include the individual message on the Payslip Comments Screen of the relevant employee.
