South Africa: Transfers using the statutory override option for Equity Reporting

Employee Transfers

Employees can be transferred between different frequencies in the same company and between different companies in the same company group.

Navigate to the employee > On / Off Boarding > Transfer

      

When an employee is transferred between frequencies, the system will automatically add the “_1TR” suffix to the employee number of the terminated record.

When to activate the ‘terminated for statutory reporting’ checkbox field?

      

Employment Equity Reporting

If transferring between frequencies with different EE reference numbers:

  • This field should be ticked.
  • The original employee record will then be considered as a ‘termination’ and will be included in EEA2 Section C Table 4 Terminations.
  • The original (now terminated) employee record will then not be included in the EEA2 Workforce Profile, Skills Development, or the EEA4.
  • On the transferred (active) employee record in the new company, update the Statutory Employment Date Override on the Tax Profile, to ensure the employee is included in the Section C Table 2 Recruitment.

If transferring between frequencies with the same EE reference number:

  • This field should not be ticked.
  • Both employee records will be consolidated and considered in the EEA2 and EEA4.
  • The original (terminated) and transferred (active) employees are returned in the EEA2 and EEA4 Detail reports to ease reconciliations.

If transferring between companies, the field does not get considered, as Equity reports cannot be generated for a group of companies.
