When the company setting below is activated, the UIF declaration file is automatically submitted to the Department of Labour (DoEL) via Payspace on the 7th of each month, covering the data from the previous month.
The preferred method for submitting UIF declarations is through the UIF submission file, which updates the DoEL's internal system, Siyaya, via eDec. This approach is recognized as the most reliable for ensuring consistent submissions and is currently the method employed by Payspace.
uFiling was initially introduced to facilitate online UIF claims and reduce the need for manual submissions, particularly for smaller employers without payroll software. While uFiling maintains its own database and updates Siyaya with the submitted data, it does not update information for foreign nationals. For foreign nationals, the data is stored only within the uFiling database.
However, ongoing synchronization issues between Siyaya and uFiling have impacted employer data and historical submissions made via eDec. As a result, uFiling should not be used to verify data submitted via eDec, such as the "UIF declaration file."
Verification of Successful Submissions:
- Employers submitting through eDec should rely on auto-reply emails from the Fund sent to the email address captured on the Basic Company Information screen for confirmation, rather than uFiling. It should be noted that the auto-reply can take up to a month.
- For employers using eDec for local employees, it is advisable to continue with this method. If you choose to switch to uFiling to monitor submission statuses online, please be aware that historical data may not display accurately on uFiling, although it remains correct in Siyaya.
