Namibia: Social Security File Extension Numbering
Background:
The name of the submission file must be made up as follows: uuuuuuuunnn
The ‘uuuuuuuu’ is the SSC employer number supplied to the submitter on registration with the Fund and is always used on any correspondence from the SSC. The ‘nnn’ is the file number (numeric), which serves to make the file name unique where more than one file is submitted under the same SSC reference number. In the normal course of events, this file number can be incremented by 1 each time a submission is made for subsequent months, or if an additional submission is made to resubmit records that were rejected in a previous submission. If a file is sent more than once with the same file name, the last file received will be replaced. An example of the file is 20142014001 (20142014 being the SSC number).
The file number should default to 001 when running the report for the first time for a company. Then increment from then onwards to 002, 003 etc.
The file type is a notepad F10 file and is submitted by the customer to the SSC.
System Application:
• A new custom form has been created to allow customers to specify what the first number should be on the Electronic Social Security File company custom form.
Config > Basic Settings > General Company > Custom Form
• This field has a history grid and is date driven with an effective date. It will be used to store the extension number with each file that is generated, by clicking on the new ‘Generate’ button on the Report Parameter screen for the report.
• Only 3 digits should be captured on the Custom Form screen. If more digits have been captured, there will be an error on the screen.
• Only numeric values are allowed.
• The Report Parameter screen has been enhanced to facilitate the automatic numbering:
• If a number is not completed on the new Custom Form screen, the number will default to 001 in the report. In the following months, it will automatically increment by 1 each time the file is generated.
• Alternatively, if a number is completed, the file number will increment by 1 each time the ‘Generate’ button for a new month is clicked on and the execute button selected.
• If the ‘Generate’ button is clicked on more than once in a month, a new number will be generated each time.
