Classic | General Navigation

About

In this article, navigating to companies, employees and frequencies from the Landing Page, are explored. The navigation principles explained in this article, will be the same on any other screen on the system.

NextGen or Classic

The Classic version is the name given to the previous look and feel of the system. Important to note, both NextGen and Classic point to the same database. No data migration is therefore applicable. 

This article covers General Navigation for the Classic version of the system.

Moving between Companies

Before an employee record can be accessed, you need to select the relevant company. If only one company is registered on the payroll, you will be directed to the screen selected without having to search for a company name.

Navigation: Company Menu>Basic Company Information

Various Search Criteria can be used to search for a company profile.


The Wildcard Functionality

The Wildcard Functionality assists you in searching for company and employee profiles where multiple options exist. The Wildcard Functionality is indicated with a %.
  1. Searching for any letters, followed by the wildcard will display information starting with those letters.
  2. Searching for a wildcard followed by any letters will display information ending with those letters.
  3. Searching for letters between two wildcard symbols will find and display information containing those letters.
  4. Important to note: the search will have to be refined if more than 50 results are returned. Selecting Search with the Wildcard as the only search value, will only reflect the companies the Company Level User has access to.


Once a company has been selected, select change company on the left navigation pane to return to the Company Search Screen.



Moving between Employees

Once the relevant company has been selected, you can proceed to navigate between employees.

Navigation: Employee Menu>Basic Information>Basic Profile

Various Search Criteria can be used to search for an employee profile.



Deselecting Active Emp’s Only, will exclude past and current terminations from the search results. A terminated employee is indicated with a red sign as can be seen on the image below.





The left navigation pane displays your location on the payroll. As can be seen on the image below, the Company, Employee Record and Frequency display.

The free text field can be used to search by Employee First Name, Employee Last Name and Employee Number. The free text field can only be used to search for active employees and not for terminated and future dated employees.




Moving between Frequencies

Frequencies refer to the pay cycles within a company e.g. monthly, bi-weekly or weekly. If only one frequency is registered on the payroll, the option to move between frequencies will not be available. You can move between frequencies from any Company Menu Screen. The option to move between frequencies is also available when you add a new employee.

Navigation: Company Menu>Basic Company Information

Select change frequency from the left navigation pane.



You can choose between the frequencies set-up in the company.



Important Comment

Tip 
While busy with payroll processing activities, you will have the option to select a frequency and/or consolidate frequencies e.g. printing reports, posting bulk entries for employees.
When searching for an employee, the system will search across all frequencies e.g. you do not need to change to the weekly frequency before searching for a weekly employee. The weekly frequency will automatically be selected when selecting a weekly employee.
