Eswatini | New Monthly PAYE Schedule for Employers

The Eswatini Revenue Service (ERS) has introduced a new method for submitting monthly PAYE returns. This new Monthly PAYE Schedule aims to simplify the process and improve the accuracy of annual reconciliations.

New Requirements Effective from 1 July 2024:
  1. Submission Format: Payments of PAYE must now be accompanied by a return in the prescribed format.
  2. Deadline for Submissions: Use the TaxEase system to submit your monthly PAYE declarations electronically. The deadline for submissions is 14 days after the end of each month.
  3. Timeline: The new report will be phased in. However, employers must submit the new report from July 2024 to ensure the monthly data is accumulated correctly for the 2024/2025 tax year. ERS is available to help employers identify and address any gaps in the submission of retrospective reports.
Benefits of the New Schedule:
  1. Detailed monthly submissions provide a clear and comprehensive view of PAYE data.
  2. Enhanced accuracy and compliance.
  3. Real-time data access allows for up-to-date information and easier management.
  4. The simplified reconciliation process eases the process of annual reconciliations.
How to Access and Submit:
  1. Access the Monthly PAYE Schedule: The new Monthly PAYE Schedule is available on TaxEase
  2. Download and Complete: You need to download the schedule, complete it with your payroll data, and upload it back to TaxEase.
  3. Completion Options: You have two options for completing the schedule:
    1. Option 1: Download the schedule and fill it out manually.
    2. Option 2: Download the payroll report from PaySpace to complete the schedule. This report will be available soon; please refer to task #67103 for more details.

PAYE05 Employee Tax Certificate
The PAYE05 certificate has been updated to align with the new monthly schedule, ensuring the information is organised in the same order for easier understanding and use. This report will be available soon, please refer to task #68268 for more details.

PAYE01 PAYE Monthly declaration
The information completed in TaxEase will automatically populate your PAYE return. The electronic summary replaces the manual PAYE01 PAYE Monthly declaration form, making the process simpler and more efficient.

PAYE Reconciliation Spreadsheet
All employers are required to submit their annual PAYE Reconciliation Declaration by 30 September each year. Starting with the 2024/2025 tax year, the submission made in June will serve as the annual declaration for that tax year, the accumulated monthly submissions will replace the Annual PAYE Reconciliation Declaration. 

We are currently awaiting further clarification from the ERS regarding this procedure.

*Please note: We are also seeking clarification from the ERS on the process for handling 'resubmissions' and 'corrections.' We will share this information with you as soon as we receive it.
