ESS | Employee Self Service

Overview

The Employee Self Service (ESS) feature allows the registered employee to log in as a user and access screens that are relevant to them.

Details

System configurations that have to be configured before employees can register for ESS

Before employees can register for Employee Self Service (ESS), ensure that the following company level configurations are set up. All employee must have:
  1. an active email address in the "Email Address" field, under the Contact Details section of the Basic Profile screen.
    1. If an employee has a new email address uploaded on the system, they have to reregister for ESS to access the system
                  Navigate > Employee > Basic Information > Basic Profile > Contact Details
                  
                                    
  1. a directly reports to person assigned on their Position screen. 
    1. The employee assigned as the directly reports to person (manager), which will ensure that the default workflow path for leave applications functions correctly.
                  Navigate > Employee > Basic Information > Position > Reporting Line

                  

ESS Registration Process


Employees can then navigate to www.payspace.comclick on ESS Registration and follow the prompts.


Default ESS permissions

If a company does not configure their custom Employee Self Service (ESS) security, the system will apply the default ESS security role. Therefore, registered ESS users will have access to the following screens - 
  1. Basic Profile screen 
  2. Payslips screen
  3. Compare Payslips screen
  4. Tax Certificates / Historical Drill Down screen
  5. Leave Application screen
  6. Leave Balances screen
  7. Leave Calendar screen

Activating a Locked Account

A user's (employee, company and Business Partner level) profile will be locked, if they attempt five incorrect email address and password combinations on the Login screen, and can you be reactivated by a company or Business Partner level user.


Resetting a password

Once their user profile is reactivated, employees can reset their password. To reset a password, navigate to the login screen and select the "Reset password" and "Submit" buttons after inserting the user's email address.

Important! Ensure that the email address inserted is the same as the one captured on their Basic Profile screen.

                  

            

 A link will be sent to the user's email address which they will have to follow in order to reset their password.


            

This process can also be used if a user has forgotten their password.
