Basic Company Information | Grouping Companies

Overview

When a new company is created, the system automatically generates a company group (i.e., a parent container) in the backend.

      

The name of the group that a company belongs to will be displayed under the "Group Action" section above the "Company Group Name" field. If the group name is changed here, it will amend the group name for all the companies within that group. It will not create a new group.

There is no need to specify a group name when creating a standalone company; the group name defaults to the company name.

Companies from different countries can be grouped. For instance, a customer might have multiple entities across Africa.

Company configurations cannot be set at the company group level; everything is managed at the company level (like organizational structure, leave rules, grades, etc.) or at the frequency level for components. A company group merely serves as a background mechanism to interlink companies.

Company Level Users

Important! Company level user can ONLY group new companies with existing ones. When creating a company, it will be linked to the group of companies where the user is already present.

To add companies outside their existing group, a company-level user must configure a user with a new email address (not captured on the system). Contact the Sales department at sales@payspace.com for further assistance.

When users search for employees from the Employee Search screen, the system displays employees from all companies within the group that the user has access to. If the user does not have permission to access a specific company or frequency, they will encounter an "Access Denied" screen.

Company-level users cannot be be given access to frequencies of companies in another group.

Business Partner Level Users


Important!  Business Partner level users can CHOOSE whether the company they are creating should be standalone or grouped with an existing company.

If the company needs to be linked to an existing group, the user must first search for and select an existing company within that group before clicking the "+ Company" button on the top right-hand corner of the Configuration screen.

Users will find a "Group Action" section with two radio buttons on the Basic Company Information screen.

The system defaults to the "Create a new company group" radio button, creating a standalone company.


      
Change the selection to the "Link to the selected company's group" radio button to group the company with the company that the user is currently in.
